Attendance Policy:



CALL INS

Associates must call into the Call In Text Magic Number provided by your site, for any absences prior to the start of his/her shift. Messages are not to be left with a co-worker or anyone else. Only the Associates can report their absences. The only exception to this rule will be in the case of an emergency, such as hospitalization, etc. If an Associate will be out for more than one day, the Associate is required to text the Call In line at least two hours prior to start. Failure to do so may result in disciplinary action up to and including termination. If the absence extends for a period of time, the Associate and supervisor may establish a schedule to report on a less frequent basis.


OCCURANCE POINTS

An unauthorized absence occurs when an Associate misses more than half of his/her scheduled work shift, which was not requested for, and approved, in accordance with the guidelines outlined in the Work Schedules section of this policy. Excessive absenteeism is defined as an unauthorized absence, or a pattern of absences (i.e., calling in sick on multiple Fridays/Mondays or days before or after a holiday or vacation), that interferes with the operation’s ability to meet the customer’s needs. Excessive absenteeism is subject to corrective action up to and including termination. Associates who are unable to perform their assigned job responsibilities due to excessive periodic absences may be discharged for nonperformance. An associate’s absences are counted for twelve consecutive months starting with the first absence.


Corrective Action for unauthorized absences will occur as follows (extenuating circumstances may be considered): 

  • Four (4) occurrences of unauthorized absences will result in a documented Verbal Write-up to be maintained in the associate’s personnel file.
  • Six (6) occurrences of unauthorized absences will result in a Write-up to be maintained in the associate’s personnel file.
  • Seven (7) occurrences of unauthorized absences will result in a Final Write-up to be maintained in the associate’s personnel file.
  • Eight (8) occurrences of unauthorized absences will result in Termination 


NEW HIRES/TEMPORARY ASSOCIATES

•      Any Associate with three (3) occurrences of unauthorized absences within their 90 days Introductory Period is subject to termination.


TARDINESS/LEAVING WORK EARLY

Associates are expected to be in their work areas and ready to begin work at their scheduled starting time. Tardiness is defined as arriving at the work site after the scheduled start of the shift without prior notification and approval. Frequent, repeated or habitual tardiness is cause for disciplinary action up to and including termination.


In the rare instance when an associate is unable to avoid being tardy, the associate must call in to Text Magic on specific day prior to his/her shift. Only Associates can report or call in incidents of tardiness to their supervisor. If tardy, an Associate must report to his or her immediate supervisor immediately upon arriving to work. 


Additionally, associates may not leave the work area before the end of their regularly scheduled shift without prior notification and approval from their immediate supervisor or other designated individual. Any associate leaving before the end of their regularly scheduled shift without permission of their immediate supervisor or other designated individual is subject to disciplinary action up to and including termination of employment. 

 

JOB ABANDONMENT (No Call/No Show)

Job abandonment occurs when an Associate is absent for one scheduled workday without prior notice to supervisor or without following proper call in procedures, in accordance with the guidelines outlined in the Call In section of this policy. A NCNS (no call/no show) will be considered as job abandonment. The Associate is reported as a voluntary termination from Arvato. If there are extenuating circumstances that prevented the Associate from properly calling in, Arvato will give due consideration to the circumstances and may decide to allow the Associate to return to work. Both the Operation Site Leader & Human Resources Manager must approve these exceptions.


All Mandatory meetings are considered work time. Your immediate supervisor or other designated individual must approve absences from mandatory meetings, in advance. Failure to attend Mandatory meetings, without obtaining prior approval, may result in disciplinary action up to and including termination of employment. 


TIME OFF REQUEST 

A signed "approved time off " form is located outside Andrea Carter's office (our onsite TA). This must be filled out and signed by the employee and your Supervisor. Once form is completely filled out it needs to be turned back into Andrea Carter.


We will try to accommodate as many individuals requesting time off. All requests for specific days off must be submitted at least 2 weeks in advance prior to the requested date to be given consideration and allow for planning.  While every reasonable effort will be made to meet each individual request, it is important to note that other scheduling needs and conflicts may prevent any particular request from being approved. Time Off Request may not be granted during “Black Out Periods”. Your site leadership will communicate each “Black Out Period”. Which consist of the following time frame any Arvato Calendar Holiday and in addition, Thanksgiving, Black Friday; including, Saturday and Sunday of the holiday weekend, Christmas Eve, or “other” pending our customer requirements (please refer to Arvato Holiday policy). This time frame may change based on Arvato’s customer needs.
